Privacy policy
Effective August 28, 2026. Updated September 17, 2026 to describe the cookie notice and consent-based analytics.
1. Who we are
JMH Financial Services LLC ("JMH," "we," "us") is a bookkeeping practice based in Fairfax County, Virginia, serving clients across Northern Virginia and remotely nationwide. This policy describes how we handle personal information collected through our website, jmhfinancial.net, and in the course of providing bookkeeping, payroll administration and reporting services. Questions can be sent to info@jmhfinancial.net or (703) 634-3394.
2. Information we collect
- Contact form. Name, email address, phone number, business name and type, accounting software, how far behind the books are, headcount, services of interest, real estate details where given, and anything you write in your message.
- Scheduling. If you book a call through our Google Calendar link, Google collects the information needed to create the appointment under its own privacy policy.
- Client portal. Login credentials and the financial records clients share with us: bank and credit card statements, payroll data, receipts, invoices and similar documents.
- Correspondence. Emails, calls and messages exchanged with us.
- Technical data. Standard server logs (IP address, browser type, pages visited). If you allow analytics through the cookie notice (Section 5), aggregate usage data is collected through cookies.
- Newsletter. If we launch an email newsletter and you subscribe, we will collect your email address for that purpose only, with an unsubscribe link in every message.
3. How we use information
We use the information above to respond to inquiries, deliver the services described in a client's written proposal, administer billing, communicate about the engagement, improve the website, and meet legal and professional obligations. We do not sell personal information, and we do not share it with third parties for their own advertising.
4. Client financial records
Financial records receive heightened confidentiality. Access is limited to the two people at JMH who work on your books. We disclose them only (a) at your written direction, for example to your CPA, tax preparer or lender; (b) to the software platforms that process your books on our and your behalf (Section 6); or (c) where required by law or legal process.
5. Cookies and analytics
The site sets one strictly necessary item in your browser's local storage to remember your choice on the cookie notice. Analytics cookies are set only if you choose "Allow analytics" on that notice; in that case Google Analytics collects aggregate traffic data that does not identify you personally. Choosing "Essential only" means no analytics run. You can change your mind at any time by clearing the site's data in your browser, which brings the notice back. The site works fully without cookies.
6. Service providers
We rely on established platforms to deliver our services: Intuit QuickBooks Online and Xero for accounting, Gusto for payroll, Financial Cents for the client portal, Google Workspace for email and scheduling, FormSubmit for delivery of contact form messages, and standard website hosting. Each processes data under its own terms and privacy policy. We choose providers with strong security practices and share only what the service requires.
7. Retention
We retain client financial records for seven years after an engagement ends, consistent with record-keeping norms, and then delete them securely. Prospect inquiries that do not become engagements are kept no longer than two years. You may request earlier deletion where the law does not require us to keep the records.
8. Security
We protect information with encryption in transit, access controls and least-access practices within our two-person practice. Documents move through the encrypted portal, never by email. No method of transmission or storage is completely secure, but we work to protect your information in line with industry standards for financial data.
9. Your choices and rights
You may ask us to access, correct or delete the personal information we hold about you by emailing info@jmhfinancial.net. We honor reasonable requests, including rights available to Virginia residents under the Virginia Consumer Data Protection Act where applicable. You may unsubscribe from any marketing email at any time.
10. Children
Our website and services are directed to businesses and adults, not to anyone under 18. We do not knowingly collect information from children.
11. Business transfers
If JMH Financial Services LLC is ever merged, acquired or sells substantially all of its assets, client and prospect information may be transferred to the successor as part of that transaction. Any successor will be required to honor the commitments in this policy, and current clients will be notified before their records change hands.
12. Automated decision-making
We do not use artificial intelligence or automated systems to make decisions that affect you. Bookkeeping software may suggest transaction categorizations, but every judgment about your books is made and reviewed by a person at JMH.
13. Accessibility
We want this site to be usable by everyone. It is built to follow the Web Content Accessibility Guidelines (WCAG) 2.2 at level AA: keyboard navigation, visible focus, text contrast, labelled forms and a skip link on every page. If you have difficulty using any part of the site or need information in another format, write to info@jmhfinancial.net or call (703) 634-3394 and we will help directly.
14. Changes to this policy
When we update this policy, we will post the revised version here with a new effective date. Material changes affecting current clients will also be communicated directly.
